Shipping Batch

1. User needs to add a rule hierarchy named isCheckApprovalList for customers who is required to be triggered for approval list. Customers who are not setup for this rule hierarchy will not be triggered for approval list. 




2. The user can visit Approval Routing Select page via Maintenance > Approval Routing Setup.


3. To create a new approval routing, the user is required to click the "Add" button.



4. To setup for shipping, the user is required to select "Medical C of C" as the approval routing category and click "Submit" button.



5. After the user clicks the "Submit" button, a new form will be added below and the user has to add the Production Manager and QA Manager so that they can approve the shipment. To make it effective, the status of the approval routing must be set to Released.







6.  The first step of shipping is creating a shipment tracker. The user can achieve this by visiting the Shipment Tracker Creation page.
Production > Shipment Tracker > Shipment Tracker Main



7.  To create a new shipment tracker, the user is required to click the "Add" button.



8. After the user selects the customer, product number and product revision, the customer part number field will be filled automatically and the acceptable revision field will be shown if the product exists. After that, the user is required to select a sales order number and sales order line number. After that, the remaining fields will be filled in automatically. After ensuring all the information is correct, the user has to click the "Add" button to create the shipment tracker.

10. To create a shipping batch, the user is required to visit the Shipping Batch page. 
Production > Production Control > Shipping Batch > Shipping Batch Main



11. The user has to click the "Add" button to create a shipping batch.



12. After the user selects a customer, the information of the shipment tracker will be displayed in the grid as row of data. To attach a shipment tracker to the shipping batch, the user has to check the checkbox in the beginning of the row and click the "Add" button.



13. The user can view the added shipment tracker in the "Done Added" tab. After the user confirms to attach the shipment tracker, the user has to click the "Submit" button.



14. To create Pallet Batch, the user is required to visit the Pallet Batch page via Production > Production Control > Pallet Batch > Pallet Batch Main.



15. Firstly, the user is required to select a customer and shipping batch number. The shipping batch number will NOT be shown in the Shipping Batch Number field if the shipping batch is not submitted at the previous step. After selecting a customer and shipping batch number, the user is required to click the "Add" button. 



16. After clicking the "Add" button, a new pallet will be added to the pallet batch. To remove any unwanted pallet in the pallet batch, the user has to click the "Delete" text at the beginning of the unwanted pallet row. 



17. To create the pallet batch with the pallets, the user is required to click the "Submit" button.




18. To search for any existing pallet batch, the user is required to click the "Search" button after selecting a customer and pallet batch number. The information of the pallet batch will be displayed to the user.



19. Before printing the pallet label, the user is required to setup the printer. To print pallet label, the user must select "Pallet" as the Print Mode. Maintenance > System Setup > Label Printing Configuration.



20. After creating a pallet batch, the user should scan the pallet batch via Production > Production Control > Pallet Batch > Pallet Batch Scan. 



21. The user is required to select a customer, pallet batch number and pallet number. After that, the shipping batch number will be filled automatically. Lastly, the user has to enter the packaging box id and select a desire printer. 



22. After the user clicks the "Add" button, the packaging box with the packaging box id will be added below. The Shipment Scanned Quantity (5/10) refers to the sum of Quantity of Unit in the Packaging BoxQuantity To Ship field in the Shipment Tracker Creation page. To delete the packaging box added, the user is required to click the "Delete" text.



23. The status of the packaging box is updated to "Add To Pallet Batch".




24. After adding all the necessary packaging box, the user is required to click the "Submit" button to submit the pallet and print the pallet label.



25. Another way to scan pallet batch is via the Pallet Batch Scan page at the mobile site. Home Page > Part Line Verification (Manual Insert) > Click the "Cancel" button at the Part Line Verification (HLA) page > Pallet Batch Scan.







26. Before scanning pallet batch, the user is required to select the customer, pallet batch number and pallet number. 



27. The shipping batch number and the packaging box information (if available) will be shown after the user selects the customer, pallet batch number and pallet number. The "Reprint" button allows the user to print the pallet label again.



28. To scan new packaging box into the pallet batch, the user is required to enter the packaging box and click the 
"Add" button.



29. After clicking the "Add" button, the packaging box will be added to the pallet batch and the information of the packaging box will be displayed below. 





30. To submit the pallet batch, the user is required to click the "Submit" button. The pallet label will be printed after submitting the pallet batch.



31. To cancel shipping batch, the user has to visit Production > Production Control > Shipping Batch > Cancel Shipping Batch.




32. Firstly, the user is required to enter the sales order number and select a shipping batch number. 



33. The Sales Order Line Number field will be hidden after the sales order number and shipping batch number are inputted.



34. If the user clicks the "Search" button, the details of the shipping batch which includes the packaging box and pallet batch will be displayed. 



35. When the "Cancel Pallet Batch" checkbox is checked, a confirmation dialog will be displayed to remind the user that if the "Submit" button is clicked the pallet batch will be cancelled.



36. If the "Cancel Pallet Batch" is unchecked while the "Submit" button is clicked, the packaging boxes which are assigned to the pallet batches under the shipping batch will be removed from the pallet batches and thus the packaging boxes can be scanned into pallet batch again. The status of the packaging box will be updated to "Submit" from "Add to Pallet Batch". The status of the pallet batch and shipping batch will be updated to "Submit".





37. To complete a shipping batch, the user is required to visit the Shipping Batch Complete page via Production > Production Control > Shipping Batch > Shipping Batch Complete.



38. The information of the shipping batch will be displayed after the user selects a customer, sales order number and shipment batch. 



39. The "Ready For COC" button is only shown when the Total Pallet Quantity Scanned matches with the Quantity To Ship. 



40. After clicking the "Ready For COC" button, the user has to prepare the shipment note.



41. To work on the shipment note, the user is required to visit the Shipping Batch Shipment page via Production > Production Control > Shipping Batch > Shipping Batch Shipment.



42. The user can search for the shipping batch by selecting a customer and inputting the shipping batch number. If both the customer and shipping batch number are valid, the information of the shipping batch will be displayed. The calendar icon is only shown when the user completes the "Ready For COC" step as mentioned above.



43. After clicking the calendar icon, the user is required to complete the shipment note.



44. After completing the shipment note, the View Document icon will be displayed beside the Calendar icon. 



45. If the rule hierarchy "isCheckApprovalList" and "CofC_Approval_Route" is not set for the customer, the user does not need to request approval to complete the shipping batch.



46. The person in charge will receive an email which notifies the person in charge to manage the document.



47. A message is displayed to indicate that the document is not yet approved by the person in charge and hence cannot be printed. 



48. To view the shipment note, the user is required to click the "Compliance Certificate" button.



49. To approve the document, the person in charge is required to visit the Approval List page. Production > Production Control > Approval List. The person in charge can decide to view, approve or reject the document by clicking the View Document icon, Approve icon or Reject icon respectively.



50. The "Print Directly to Printer" checkbox can be seen after the person in charge approves the document. If the checkbox is checked while the "Compliance Certificate" button is clicked, the document will be printed by printer. If it is not checked, the document will be downloaded as pdf. 



51. To make changes to the shipment note after it is approved by person in charge, the user has to click the "Re-Submit" button. After that, the person in charge has to approve the document again.



52. To view the history of the shipping batch document, the user has to visit the Shipping Batch History Document Page.
Inquiry > Shipment > Shipping Batch History Document.



53. To search for the history of the shipping batch number, the user just has to enter the shipping batch number and click the "Search" button. 



54. To download the COC document, the user has to click the icon at the beginning of each row.



55. After downloading the COC document, the user has to return the Shipping Batch Complete page to attach the COC document. (Production > Production Control > Shipping Batch > Shipping Batch Complete)

56. To view the shipping batch, the user is required to select a customer, sales order number, and shipment batch.



57. If the user clicks the "Complete" button without attaching the COC document, an error message will be displayed.



58. To attach a document, the user has to click the "Attachment" button. After that, a dialog box will appear.



59. The COC Document Number can be found on the top right corner of the COC document.



60. After inputting the COC Document Number, the user has to click the "Attachment" button to attach the document. If the user does not have COC document to attach, the user can click the "Skip" button to skip this process.



61. After the user clicks the "Attachment" button, the COC document will be attached. After that, the user is required to click the "Complete" button to complete the shipping batch.



62. The shipping batch cannot be searched after it is completed.



63. The status of the shipping batch will be updated after it is submitted.

64. The next step is pallet measurement. To perform pallet measurement, the user has to visit the Pallet Measurement page via Production > Shipment Tracker > Pallet Measurement.



65. To measure a pallet, the user is required to select a shipping batch and pallet batch number. After that, the pallet number in the pallet batch will be displayed. 



66. The user can enter the dimension and weight of the pallet and click the "Add" button.



67. To submit the pallet measurement, the user has to click the "Submit" button.



68. The status of the shipping batch will be updated after the pallet measurement is completed.



69. Before shipping batch is shipped, the user is required to export the packing list. To achieve that, the user is required to visit the Packing List page via Production > Shipment Tracker > Packing List.



70. The user is required to select a customer and shipping batch. After that, the user has to click the "Export" button.



71. The packing list will be downloaded as an excel file after the user clicks the "Export" button.



72. The excel file contains information such as the part number, total shipping quantity, number of carton box in the shipping batch, measurements, total weight, sales order number as well as the PO number. 



73. To ship the shipping batch, the user is required to return to the Shipping Batch Complete page. 
(Production > Production Control > Shipping Batch > Shipping Batch Complete)

74. If the status of the shipping batch is "ShipReady", the "Complete" button will be changed to "Ship" button. To ship the shipping batch, the user is required to click the "Ship" button.



75. The status of the shipping batch, unit, and packaging box will be updated to "Shipped".
